Loading Procedures
Proper loading practices are essential. A large number of claims originate in the loading process, often because of carelessness on the part of shipper personnel but occasionally due to lack of training or direction in loading.
Check the Truck
Check for any condition that could lead to damage.
For example: debris, trash, loose nails or bolts, damaged bulkhead doors that may not be able to be locked properly, holes or openings in the roof, walls, floors, chutes, doors, etc, contaminated odors, insects or other vermin.
Rejection of the vehicle is the only alternative when an unsuitable condition cannot be corrected.
Product Verification, Condition & Count
Shipping the correct product eliminates the necessity to return rejected products by the purchaser.
Check the condition of the product, the packaging, and the units. At any sign of damage or potential problem, the item should be rejected and replaced.
Should a replacement not be available the person handling the order should be notified and all shipping records and papers should be noted accordingly to reflect the reduction in items shipped.
Double check the count loaded versus the count ordered.
Mixed Loads
Check for product compatibility.
Equipment
Loading equipment should be designed for the type of packaging to be loaded and all equipment should be operated by trained personnel.
Labeling
Pay attention to labeling, such as “Fragile”, “This side up”, “Do not double stack” – paying attention to special handling labels make the difference in the condition of the shipment upon arrival.
Documentation
Ensure that the documentation and product match. Make sure all special handling and temperature requirements are clearly noted.
Loading
Double check the load.
Secure the load.
Secure bulkhead doors (when applicable) and all vehicle doors.
Apply seals and confirm seal numbers before noting on the bills.
Check trailer doors to make sure that:
A seal cannot be removed without breaking it.
The locking mechanism works & cannot be opened without detection.
All doors are sealed.
